The At Facility Now feature provides real-time information on the number of users currently present at each facility. Users who have entered the property without leaving, giving you an accurate snapshot of the current visitor counts.
Monitoring 'At Facility Now' in Real-Time
The At Facility Now feature enhances facility management by providing real-time tracking of users currently present at your facility. This feature is accessible via the Web Portal dashboard and is integrated into the Recent Activity widget. Here's how it works and how you can use it effectively.
What is 'At Facility Now'?
The At Facility Now feature:
- Displays a real-time count of users currently on-site.
- Tracks users who entered through a Nokē Smart Entry (NSE) access point but haven’t yet exited.
- Automatically updates when users exit through designated points.
Accessing 'At Facility Now'
- Navigate to the Recent Activity widget on your dashboard.
- Open the drop-down menu in the top-left corner of the widget.
- Select At Facility Now to view the list of users currently on-site.
What You'll See
- A list of users reported by the NSE system as being on-site.
- Details about their most recent entry activities.
Manually Removing Users
Occasionally, you may need to manually remove users from the At Facility Now list due to scenarios like tailgating.
How to Remove Users
- Click the Remove button next to the user’s name.
- A pop-up will appear asking for a reason for removal.
- Options include:
- Tailgated
- Gate Left Open
- Other
- Options include:
- Select the appropriate reason and click Submit.
Viewing Manual Removals
- When viewing a user’s details, a people icon indicates access to their Manual Removal history.
- This log shows every instance of manual removal and the corresponding reasons.
Automatic Removal Rules
The system employs automatic removal logic to ensure accuracy:
- Users are marked as offsite when exiting through a designated NSE exit point.
- Prolonged inactivity triggers automatic removal.
- At midnight, all users are removed automatically, as the system assumes the facility is closed and everyone has left.
Potential Insights from Automatic Removal
- Tailgating Patterns: Frequent removals for tailgating can highlight a need for tenant education.
- Midnight Removals: Consistent midnight removals may indicate misuse, such as individuals residing in storage units.
Additional Features
Filtering & Exporting Data
- Use filters to narrow the list of removed users.
- Export the Removed Users page into a CSV file for record-keeping or further analysis.
Notifying On-Site Users
- From the At Facility Now widget, click the three dots (•••) in the top-right corner to:
View removed users.
- Send notices to all users currently on-site (requires facility and user notification preferences are On)
Proactive Tenant Communication
- Educating Tailgaters: Frequent tailgating incidents are an opportunity to educate tenants about proper entry/exit protocols.
- Receiving Alerts: To communicate with specific users upon their arrival, set up alerts (refer to our alert setup article for details).
