How to access occupied units in the case of emergencies (flood, fire, etc.)

In rare instances, such as emergencies like fires or medical crises, facility managers or emergency responders may need immediate access to an occupied storage unit without prior tenant authorization. The Nokē Smart Entry system offers a specialized feature, Emergency Unlock, to facilitate authorized access in such critical situations.

Accessing Occupied Units in Emergency Situations:

  1. Log in to the Manager's Mobile App: Open the Nokē Manager Mobile App and navigate to the Entry page by tapping the Storage Door Icon.

  2. Select the Desired Unit: Scroll through the list of units to locate the occupied unit requiring emergency access. Tap on the unit to view more details.

  3. Initiate Emergency Unlock: Scroll to the bottom of the Unit Details screen and tap the 'Unlock' button. A pop-up message will appear indicating that the unit is occupied and prompting you to choose how to proceed.

    1. Note: The permission 'Access Emergency Unlock' is required to complete this action. 
  4. Select Emergency Access: If immediate access is necessary and contacting the tenant for non-emergency access is not feasible, tap 'Emergency' to proceed.

  5. Provide Reason for Emergency Access: You will be prompted to select a reason for requesting emergency access. Choose the most appropriate reason from the provided options. This reason will be included in the text notification sent to the tenant.

  6. Notification to Tenant: Upon selecting the reason, the tenant will receive a text notification from the facility indicating that their unit needs to be unlocked. Simultaneously, the system grants the manager or emergency responder a one-time unlock option.

After sending the unlock command to the unit, there is a 10-second window for the user to unlock the unit. Therefore, it's essential to have someone present at the unit, ready to open it, when initiating this process.

Important Considerations:

  • Use Emergency Unlock Responsibly: Emergency Unlock should be utilized sparingly and only in genuine emergencies where immediate access is imperative.
  • Tenant Notification: It's crucial to communicate the reason for emergency access to the tenant transparently. The options include 'Flood', 'Fire', 'Tenant Locked Phone in Unit', or 'Other'. If 'Other' is selected, you will be prompted to input additional information explaining the nature of the emergency.
  • One-Time Access: Emergency Unlock grants a one-time access request. Once access to the unit is granted, subsequent access requests will require tenant authorization.
  • Window for Unit Access: When the unlock command is sent to the unit, there is a 10-second window for the user to unlock the unit.

Additional Note for Emergency Responders: In emergency scenarios where immediate access is essential to ensure safety or mitigate risks, emergency responders, such as fire departments, have the authority to take necessary actions to access the unit. This may include using tools to breach locks or doors to gain entry if Emergency Unlock is not feasible or insufficient. Facility managers should cooperate with emergency responders and provide necessary assistance to ensure prompt access to occupied units during emergencies.

By following the outlined procedures and understanding the implications of Emergency Unlock, facility managers and emergency responders can effectively manage emergency access to occupied units while prioritizing tenant safety and security.
